Every club equipment officer knows the drill. The committee decides they need new uniforms, or the PA speaker needs replacing, or it's time to get the drums re-skinned. Someone has to get quotes. That someone is usually you.

So you open a blank email and start typing. "Dear supplier, we are looking to replace the following items..." Then you go to the spreadsheet. Three types of quotes clubs regularly need

Supply quotes

The most common — you need to buy new items. New uniforms, replacement instruments, additional equipment. The supplier needs to know exactly what you want and how many, so they can price it accurately.

Repair quotes

Equipment wears out. Drums need new heads. Uniforms need alterations. PA equipment needs servicing. A repair quote needs the item description, serial number if applicable, and a note about what's wrong with it.

Insurance valuations

Every incorporated association should have its assets properly insured at current replacement value. This requires periodic revaluation — asking suppliers what it would cost to replace each item today. Without a proper asset register this is nearly impossible to do accurately.

Common mistake: Many clubs insure their equipment at the original purchase price, not the current replacement cost. A set of bagpipes bought for $800 ten years ago might cost $1,400 to replace today. Without a current valuation, you're underinsured.

What most clubs do — and why it creates problems

The typical process goes something like this: the equipment officer finds the spreadsheet, filters for the items that need replacing, copies the list into an email, writes the introductory text, adds the contact details, and sends it.
