These Terms of Service ("Terms") govern your use of GroupDesk, a club and community group management platform provided by GroupDesk ("we", "us", "our"). By using GroupDesk you agree to these Terms.
GroupDesk provides software for managing bookkeeping, memberships, equipment and meeting records for community organisations. The service is provided on a subscription basis as described on our pricing page.
We offer a 60-day free trial with no credit card required. At the end of the trial period we will contact you to discuss continuing your subscription. There is no automatic charge at the end of the trial.
Subscriptions are billed monthly or annually as selected at signup. Annual subscriptions are billed upfront for the full year. A one-off setup fee applies to Full Suite and Association Hub plans as described on our pricing page; the Starter plan setup fee is currently waived.
We invoice by email and accept payment by bank transfer. Invoices for annual renewals are sent approximately 6 weeks before the renewal date.
You may cancel your subscription at any time by emailing support@groupdesk.com.au. Monthly subscriptions will not be billed for the following month. Annual subscriptions are non-refundable after 30 days from the start of the annual term, except at our discretion.
You retain ownership of all data you enter into GroupDesk, including member records, financial transactions, asset records and meeting minutes. You may export your data at any time using the CSV export functions provided in the platform.
Upon cancellation, we retain your data for 30 days to allow for export, after which it will be permanently deleted.

Additional customisation services requested through the platform (such as data migration, custom reports or training) are quoted and billed separately from your subscription. Work commences only after you accept the quoted price.
